As a Department Secretary at PLN Foundation, you will contribute to a meaningful cause with your skills. You know how to quickly switch between different projects, agendas, colleagues and stakeholders. You do this kindly and carefully, with you people feel comfortable asking questions. They know that they can leave the work to you – then everything will be fine. You ensure the smooth running of PLN Foundation’s operations.

Your role as a Department Secretary at PLN Foundation

With your role, you have a lot of influence on the foundation’s operations. You are the point of contact for immediate colleagues, volunteers, scientists and external parties we work with. Does someone have a general question or do they not know where to turn? Chances are they will knock on your door (digitally).

You know exactly where to lead them and have no problem investigating when you don’t know something. You have a firm grasp of the responsibilities within this role and enjoy doing so.

What are we looking for in you as our new colleague?

  • You have a mbo diploma, in the direction of administration or secretarial work. You combine this with relevant work experience.
  • You are practical minded and know how to create overview, even when developments are very fast.
  • You do your job accurately, but also know how to be flexible when the situation demands it of you.
  • You speak and write Dutch and English fluently and also know how to express yourself professionally in both languages.
  • You can work independently and know what to do. In addition, you do enjoy working with colleagues and supporting them where necessary.

What does a work week look like for you?

Your tasks alternate every day. You can handle this well; in fact, it suits you perfectly. Does an email or request come in with urgency? You know exactly what action needs to be taken and make sure everything gets to the right person. What else do you do during the working week?

  • Calendar Management: You will ensure that appointments and meetings are scheduled, with an eye for detail and priorities.
  • Document management and reporting: You keep our administration up-to-date, process documents and create reports and minutes. For this, you monitor deadlines and create overview in the planning.
  • Communications: You are the point of contact for colleagues and external parties involved with the foundation. Whether it is an internal issue or an external request: you know how to find the right tone in both Dutch and English.
  • Event Support: You will participate in the organization of meetings and events that fit the PLN Foundation’s mission. This can range from the initial preparation to the completion of an event.

This is what we offer you as a Department Secretary

We are looking for a colleague to do this part-time position for 24-32 hours per week. Regular working days are Tuesday, Wednesday and Thursday.

  • You will have the opportunity to work partly from home, in consultation with the team.
